Tutoring sessions are two hours each. The hourly rate is only available when there is no full-time tutoring spot open or on a short-term one- to two-week trial basis. Once a full-time spot becomes available or the trial period ends, students who continue with tutoring will be considered full-time and will be accorded the lower full-time rates listed above.

Tutoring Policy:

Business Hours: We are in the office Monday through Friday, and available by phone/email, generally from 9:00 am to 5:00 pm. Saturday and Sunday, the office is closed.

Tutoring Year and Rates: The tutoring year follows an academic calendar, beginning in September and ending June 11. The full-time rates are annualized based on this nine-and-a-half-month period; each month September through May is considered one-ninth of the school year. Nine equal installments are due from September through May, regardless of the number of weeks in a month or if there are holidays in a month (see holiday schedule below). To accommodate students’ final exams, we will offer tutoring at our regular schedule June 1-11, 2026, and will charge one-half of a month’s tuition for all students who have not given termination notice by May 1, 2026. Students who begin tutoring after the school year begins will pay the same monthly rates. The tutoring fee includes reasonable interaction with teachers (at a parent’s request) and parents as well as lesson preparation and research. Administration of testing, including SAT, ACT, SSAT, HSPT, GRE, GMAT, PSAT, etc., is billed at the hourly tutoring rate.

Tutoring Appointments: All tutoring appointment requests must be made through the Professional Tutoring office by phone at 703-830-7037, or by email at [email protected]. Under no circumstances are appointments to be made directly with tutors.

Holiday Schedule: Professional Tutoring is open for most federal holidays. During the following dates, we will not hold tutoring sessions:

  • Thanksgiving: Wednesday, Nov. 26 – Sunday, November 30, 2025
  • Winter Break: Saturday, Dec. 20, 2025 – Sunday, Jan. 4, 2026
  • Spring Break:** Saturday, March 28 – Sunday, April 5, 2026
  • Memorial Day: Sunday, May 24, and Monday, May 25, 2026

** Spring Break: Accommodations will be made for students in private school or college who have different schedules.

Federal/School Holidays: Many families travel or make plans for federal/student holidays. Tutoring sessions which fall on these holidays will be considered optional for students. This means that tutoring will be available on the scheduled dates but make-up sessions will not be available. Students may not “bank” these hours.

Student Cancellations: : In this busy metropolitan area, we all struggle with our kids’ heavily loaded schedules, not to mention our own. Professional Tutoring, LLC understands that cancellations and schedule changes are inevitable, and we will do everything possible to accommodate schedule changes. We ask for as much advance notice as possible. With all of this in mind, please respect the following requirements:

  • Call or email as early as possible. If there is no answer, leave a detailed message.
  • Greater than 24-hour notice: make-up session permitted.
  • Less than 24-hour notice: tutoring session forfeited.
  • Sunday/Monday cancellation: required by close of business on Thursday.

Banking a Session: When a student is not able to attend a tutoring session and gives the requisite notice, Professional Tutoring provides two opportunities:

  1. Attending virtually during their scheduled session: OR
  2. Banking the session for later use under the following protocols: 
    • Banked sessions must be used within two months following the missed session.
    • Banked sessions are usable during the student’s active tutoring tenure or by the end of the current academic year, whichever comes first.
    • Banked sessions may not be used in lieu of tendering the monthly tuition payment.
    • Professional Tutoring puts their best effort into rescheduling students’ banked sessions, generally offering two make-up opportunities.
    • In the case that a client declines two or more make-up opportunities offered by Professional Tutoring, the banked sessions will be forfeited.

Weather Cancellations: In the case of snow or severe weather, Professional Tutoring does not necessarily follow the Fairfax County Public School schedule. Instead, we see how the roads are several hours before tutoring. Many times, the roads clear during the day and are safe to drive. . If the roads are dangerous or impassable, tutoring will be cancelled and a make-up session will be scheduled. Students and parents will be notified by e-mail or phone call. Whenever possible, notices are also posted on our website. If you do not receive a call or e-mail, tutoring will continue as normal. When tutoring is offered (in-person or virtually), student cancellations are considered forfeitures and are not eligible for banking or make-ups. If Professional Tutoring cancels tutoring due to inclement weather or power outages, tutoring will be rescheduled where reasonably feasible. In any case, tuition will be due.

Instructor Information and Cancellation Policy: It is understood that Professional Tutoring, LLC employs a number of professional staff members under the supervision of Julia Ross. In the event of an instructor absence, a substitute teacher will provide tutoring. If no substitute is available, you will receive a phone call or email with information.

Terminating Services or Decreasing Hours: The undersigned client will provide Professional Tutoring, LLC, one full calendar month notice prior to terminating this Agreement or decreasing the number of weekly tutoring sessions. Notice must be given by the first of the month in order to terminate or decrease tutoring by the first of the following month. For example, termination given on December 15 would trigger a January 1 notice date, and a final termination date of January 31. The last day to provide a termination or decrease of hours notice during the school year is May 1 (for termination date of April 31). After May 1, tuition will be required through June 11.

Payment Terms: Professional Tutoring accepts payment by cash, check, bank transfer or credit/debit card. All credit/debit card payments will be charged a 3.6% service fee.

Payment is due the first of each month. Payments received after the seventh of the month will be assessed a $25 late fee. Returned checks will be assessed a $35 fee. In the event that Professional Tutoring does not receive payment within 30 days of its due date, the undersigned client will be responsible for all reasonable attorney and administrative fees incurred in the collections process, in addition to payment due. Interest will accrue at 1.5% per month (18% annually) from due date. If there are mitigating circumstances affecting the tuition payments, such as sickness or job loss, please be assured that Professional Tutoring, LLC will consider such extenuating circumstances.

Credit Card Guarantee and Payment Method: Professional Tutoring requires that a current, valid credit be on file to guarantee payment. To avoid late payment and fees, if payment is not received by the seventh of the month, your credit card will be charged the monthly payment plus a 3.6% service fee.

Professional Tutoring will only charge this card without explicit authorization in the case of late payment or nonpayment.

Course Goals: Strong, knowledge-based preparation for SAT & ACT Exams.

Fall SAT/ACT Preparation, July 19 – November 1

Target Test Dates:
SAT Exam: October 1, 2022, and November 5, 2022
ACT Exam: September 10, 2022, and October 22, 2022

Schedule: Diagnostic SAT & ACT Testing: Tuesday, July 19, and Thursday, July 21, 2022 Mondays, 9:00-10:30 AM, Wednesdays, 7:00-8:30 PM, July 20-September 7 No class on Monday, August 22, 29, or September 5 (Start of FCPS school year). Tuesdays, 7:00-8:30 PM, September 13-November 1 Includes at least two additional full practice exams (tests published by the College Board and ACT Organization).

Practice Testing: One diagnostic SAT and ACT exam and at least two additional full practice exams (tests published by the College Board and ACT organization). Above schedule may change to accommodate testing.

Practice SAT and ACT Exams are scheduled several weeks apart, with dates and times clearly noted on your Syllabus, which students will receive at the beginning of the course. These exams replicate the actual College Board or ACT test setting, are proctored by PT staff, and attendance is mandatory. Scheduling "make-up" practice exams is difficult and incurs additional fees for rental space, proctors and scoring. All students with unexcused absences from practice exams will be charged a $50.00 administrative fee for a make-up exam sitting. Students must take their practice exams under our supervision to ensure a clean score; exceptions to this policy will be evaluated only on an emergency, case-bycase basis. Unexcused absences include high school/club sports practices, games or tournaments; family vacations; part-time job shifts; babysitting, job training, etc. Excused absences will require official documentation such as a doctor's note. Please review your syllabus carefully and plan your family events and travel accordingly.

Materials: Professional Tutoring’s SAT Preparation Workbook, Professional Tutoring’s SAT/ACT binder, grammar workbook, the College Board’s Official SAT Study Guide & ACT’s The Official ACT Prep Guide, Professional Tutoring backpack.

Fees:

Registration: $450 due at registration, non-refundable.

Tuition: $1500 for full course (does not include $450 registration fee), July 19 – November 1.

Discount: $50 discount offered if registration and total tuition is remitted by Aug. 1, 2022.

Parent Responsibilities: This course is based on students improving their core knowledge of critical reading, vocabulary, algebra, geometry, editing and grammar and the type of questions asked on the SAT and ACT exams. It is very important that each student study diligently – approximately one to two hours of homework and two hours of vocabulary review and practice each week. Parents may help by quizzing their children on vocabulary and using the newly acquired words at home.

The Professional Tutoring programs are designed to support students in their goals through academic tutoring, test preparation and/or coaching. Mature behavior is expected from students/families/representatives at all times. However, in the event that Professional Tutoring does not receive any tuition installment payment within 30 days of its due date, then all of the remaining tuition installment payments shall then immediately become due and payable—and thereafter the Client will not be allowed to continue to pay tuition in installments. Course Information

Course Goals: Strong, knowledge-based preparation for SAT & ACT Exams.

Schedule: Tuesdays, December 9, 2025, through June 2, 2026, 7:15 to 9:15 p.m.
(except for FCPS breaks as announced)

Target Test Dates:
SAT Exam: May & June 2026
ACT Exam: April & June or June & July 2026

Practice Testing: One diagnostic SAT and ACT exam and at least two additional full practice exams (tests published by the College Board and ACT organization). Above schedule may change to accommodate testing.

Practice SAT and ACT Exams are scheduled on Saturday mornings several months apart. Dates and times are clearly noted on your Syllabus. These exams replicate the actual College Board or ACT test setting, are proctored by PT staff, and attendance is mandatory. Scheduling "make-up" practice exams is difficult and incurs additional fees for rental space, proctors and scoring. All students with unexcused absences from practice exams will be charged a $50.00 administrative fee for a make-up exam sitting. Students must take their practice exams under our supervision to ensure a clean score; exceptions to this policy will be evaluated only on an emergency, case-by-case basis. Unexcused absences include high school/club sports practices, games or tournaments; family vacations; part-time job shifts; babysitting, job training, etc. Excused absences will require official documentation such as a doctor's note. Please review your syllabus carefully and plan your family events and travel accordingly.

Materials: Professional Tutoring’s Preparation Workbook, Professional Tutoring’s SAT/ACT binder, grammar workbook, the College Board’s Official SAT Study Guide & ACT’s The Official ACT Prep Guide, Professional Tutoring backpack.

Parent Responsibilities: This course is based on the students improving their core knowledge of critical reading, vocabulary, algebra, geometry, essay writing, editing and grammar and the type of questions asked on the SAT and ACT exams. It is very important that each student study diligently – approximately one to two hours of homework and two hours of vocabulary review and practice each week. Parents may help by quizzing their children on vocabulary and using the newly acquired words at home.

The Professional Tutoring programs are designed to support students in their goals through academic tutoring, test preparation and/or coaching. Mature behavior is expected from students/families/representatives at all times. If the undersigned student’s/family’s/representative’s behavior is incompatible with the interest, harmony, comfort or welfare of the Professional Tutoring’s programs, the undersigned student may be suspended and/or dismissed from Professional Tutoring programs at the sole discretion of Professional Tutoring. In such a case, the full contracted tuition and fees will be due to Professional Tutoring as per this Agreement. No refunds will be provided.

Make-ups: Professional Tutoring accommodates make-up sessions for individual students in extenuating circumstances (long-term illnesses/emergencies which result in missing three or more sequential classes). Make-ups are not provided for discretionary absences including extra-curricular activities, sports, and family obligations. Check website or email for weather-related changes. It is our experience that students and parents are flexible when asked to switch their individual appointment to accommodate another student’s needs. It is for this reason that we ask for as much advance notice as possible. With all of this in mind, please respect the following requirements:

Tutoring is $65 per hour for standard subjects and $85 for advanced (AP/IB/DE) and college subjects. Each tutoring session is two hours long unless otherwise agreed by the undersigned client and Professional Tutoring. Clients have the option of paying in full for all sessions the student plans to attend (this option includes a 10% discount) or being billed on the first of each month for all sessions the student plans to attend that month.

Tutoring Policy:

Business Hours: We are in the office Monday through Friday. Monday through Friday, and available by phone/email, generally from 9:00 am to 5:00 pm. Saturday and Sunday, the office is closed.

Tutoring Period and Rates: This summer tutoring contract and the above rates are valid from June 23, 2025, through September 3, 2025. The tutoring fee includes reasonable interaction with teachers (at a parent’s request) and parents as well as lesson preparation and research. Administration of testing, including SAT, ACT, SSAT, HSPT, GRE, GMAT, LSAT, etc., are billed at the hourly tutoring rate.

Tutoring Appointments: All tutoring appointment requests must be made through the Professional Tutoring office by phone at 703-830-7037, or by email at [email protected]. Under no circumstances are appointments to be made directly with tutors.

Holiday Schedule: Professional Tutoring will be closed on Friday, July 4 2025, for Independence Day.

Student Cancellations: In this busy metropolitan area, we all struggle with our kids’ heavily loaded schedules, not to mention our own. Professional Tutoring, LLC understands that cancellations and schedule changes are inevitable and we will do everything possible to accommodate schedule changes. We ask for as much advance notice as possible. With all of this in mind, please respect the following requirements:

  • Call or email as early as possible. If there is no answer, leave a detailed message.
  • Greater than 24-hour notice: make-up session permitted.
  • Less than 24-hour notice: tutoring session forfeited.
  • Monday cancellation: required Thursday by close of business.

Banking a Session: If a student must miss tutoring and will not be able to make up his/her session within the week, he/she may “bank” the hours and use these hours before the end of the summer tutoring term on September 3. Banked sessions are in addition to regularly scheduled tutoring sessions and may not be used in lieu of tendering the monthly tuition payment.

Weather Cancellations: In the case of severe weather that causes a cancellation, students and parents will be notified by email or phone call. Whenever possible, notices are also posted on our website. If you do not receive a call or email, tutoring will continue as normal. In the case of a cancellation, a make-up session will be scheduled. When tutoring is offered, student cancellations are considered forfeitures and are not eligible for banking or make-ups. If Professional Tutoring cancels tutoring due to inclement weather or power outages, tutoring will be rescheduled where reasonably feasible. In any case, tuition will be due.

Instructor Information and Cancellation Policy: It is understood that Professional Tutoring, LLC employs a number of professional staff members under the supervision of Julia Ross. In the event of an instructor’s absence, a substitute teacher will provide tutoring. If no substitute is available, you will receive a phone call or email with information.

Terminating Services or Decreasing Hours: The undersigned client will provide Professional Tutoring, LLC with two weeks’ notice prior to terminating this Agreement or decreasing the number of weekly tutoring sessions. This Agreement will terminate automatically on September 3.
